Receptionist

Position Summary: To handle all incoming calls and guests in a pleasant, courteous manner and to assist in the day-to-day clerical and personnel functions of the office of Careers Industries, Inc. according to the mission, goals, and policies established by the Careers Board of Directors.

Essential Duties:

  • Handle all receptionist and front desk responsibilities.
  • Ensure secure access through the front lobby to help ensure security.
  • Assist in maintaining accurate up-to-date electronic and hard copy filing system and maintain archival filing.
  • Complete agency correspondence and communications when requested.
  • Photocopying, assembly and distribution of documents as needed.
  • Maintain neatness of office and clerical storage areas.
  • Keep office machines in good operating order.
  • Responsible for vending refunds and collecting fees for copies, postage etc.
  • Create and maintain mailing lists, along with various data bases.
  • Assist the management team as needed.
  • Assist or direct all staff members, participants, or members of the public appropriately.
  • Assist the public with employment applications and questions concerning Careers.

Qualifications:

Professional Skills and Abilities: Ability to accurately process telephone calls and visitors in a pleasant, courteous manner. Proven customer service skills. Ability to maintain high level of confidentiality. Organizational skills. Flexibility. Ability to respectfully interact with business people, as well as participants, staff and the general public. Proficiency in data entry, grammar and spelling. Ability to maintain an accurate, proficient filing system. Excellent attention to detail. Basic skills in Microsoft Office.

Education & Training: High School Diploma or equivalent required. Previous reception and clerical experience preferred. Excellent communication and customer service skills required.

Physical and Other Requirements:

  • Ability to lift up to 20 pounds and conduct normal and customary office activities.

Other Duties: Carry out other job-related duties as assigned.

Measures of Success:

  • Accurately handle all telephone calls and public contacts in a pleasant courteous manner.
  • Take complete, accurate messages and to distribute messages correctly.
  • Relate and work with staff, participants, and the public.
  • Accomplish, with accuracy and in a timely manner, all assigned duties.
  • Maintain high level of confidentiality.
  • Work on a variety of tasks simultaneously as assigned.
  • Constructively receive supervision from the Director of Accounting.
  • Maintain a professional clerical demeanor and relate in a professional manner.
  • Maintain excellent attendance and punctuality.
